Due to increased levels of business this opportunity has arisen, allowing an ambitious, talented and committed Private Client Administrator to join a truly impressive firm, and to provide exceptional quality technical and general administrative support to the Private Client Director and other members of a busy and successful team.This is a demanding role, suiting an experienced administrator who enjoys working autonomously in a driven and high-performing team.The RoleAs an experienced Private Client Administrator, your duties will include (but not limited to):Organising and diarising meetings on behalf of the Private Client DirectorWorking with the Private Client Director to prioritise tasksHandling calls and email queries as appropriate and act on all non-technical queriesProviding agendas and information requests prior to client meetings, if requiredAssisting with the production of management informationAssisting with general administration as requiredUsing appropriate systems and processes to submit new business to providersAssisting with the preparation of meeting packs for client meetings and Annual SuitabilityreviewsPreparing application forms and other documents for client signing or approvalLiaising with product providers to ensure all applications are received and completedProducing accurate client portfolio valuations and statements using Intelligent OfficeAssisting with trades and portfolio rebalancing, as requiredAssist with cash management control on client accountsClosing plans correctly on Intelligent Office in a timely manner and ensure income expectationsare settled, if relevantEnsuring all client information (including meeting notes) is accurately maintained on internal systemsScheduling and managing follow up tasks relating to client meetings and business submissionsEnsuring client agreements, including fee schedules, are in place and are signed, documented and savedEnsuring electronic client files are organised and updated, and easily accessibleAssisting the team in complying with FCA and internal compliance procedures, ensuring all client files and information remain compliant and confidentialNotifying the adviser of any suspicion of a complaint and follow appropriate procedures within the complaints handling processFollowing Anti-Money Laundering Procedures and complying with the requirements of GDPRAbout youAs an experienced Private Client Administrator you will possess most of the following:At last 1 years’ experience within the independent sector of the financial services industry, in a relevant administration roleSound technical knowledge covering pensions and investments, ISAs, bonds, trusts and protectionDemonstrable experience of delivering client service at the highest levelExcellent IT skills with a good working knowledge of ExcelExcellent written and verbal communication skills with a high level of attention to detailSufficient understanding of the needs of Financial Services teams, FCA rules and compliances in order to effectively carry out the roleRelevant industry qualifications will be an advantage but not essential.The ability to work to deadlines, being personally resilient and able to handle the pressure of a busy team, a demanding workload and complex client needsPossess focus and motivation in delivering an exceptional level of customer service to clients, third parties and colleaguesIn summaryThis position represents an excellent opportunity to join a highly respected and performing firm who will allow you to build a long term career within private client wealth management.
