What you'll be doing:

You will lead on providing support to the Trustee including vendor management and delivery of secretariat services, including being the primary point of contact for all external suppliers (Trustee and non-Trustee), having day to day responsibility to manage business as usual matters and to identify important and priority issues that require consideration in order to ensure the efficient delivery of contracted services, with regular calls and meetings with key contacts in order to monitor performance against SLAs.

Managing the interaction between quarterly Trustee Board meetings with the Administrator, Scheme Actuary, Legal Advisers and Investment Advisers, you will ensure all action points are completed and any emerging developments are suitably addressed. You will also liaise with internal Veolia Teams including Human Resources, Legal, Finance and Supply Chain, maintaining effective communications with the Trustee Board, all VPD members, all external suppliers and internal Veolia colleagues from other Teams. In addition effective communication will be required with the Pensions Regulator, HMRC and other regulatory bodies.

Proactive planning for Trustee meetings a year ahead - this will involve identifying main statutory requirements and coordinating the papers from all parties for the trustee meetings.

Planning responsibilities will also include ensuring the delivery of annual processes including annual pension increases, annual renewal and issue benefit statements, completion and submission of Scheme Returns etc.

Processing or checking Business as Usual (BAU) work like new joiners, leavers, deaths, retirements, ill healths etc for all Veolia Schemes including the LGPS schemes. This will include handling complaints and IDRPs, as well as be able to identify areas of improvement and develop policy issues. Once identified, work together with management to get these implemented (this includes internal and external interactions and processes).

What we're looking for:

  • Previous experience in Defined Benefit Trustee Secretariat, with experience working with external Advisors and providers.
  • IT literacy, including intermediate skills with Google Sheets/Excel are required, and any exposure to Workday would also be highly advantageous.
  • Able to manage multiple tasks efficiently and the ability to self prioritise effectively with high levels of accuracy and attention to detail.
  • An individual with excellent communication and interpersonal skills to provide industry-leading customer service to all internal and external customers.
