SCOPE OF RESPONSIBILITY: The Contract Administration Assistant (reporting into the Contract Administration Manager) is responsible for providing daily data inputting & admin tasks, to maintain current & new customer Contracts. To provide smooth running efficiencies & a more seamless approach to enable best practice working with other intercompany departments & MFS customers. PURPOSE OF THE POSITION Working within the Sales Team function within Contracts, you will provide administration support to the Contracts team daily. Support any implementation of new processes working within Salesforce / IFS. ESSENTIAL JOB FUNCTIONS While working within Contracts you will collaborate with the wider sales team to promote clear communication within internal/external teams that function within our processes. These functions are but not limited to: In Summary: Assist with the Generation of quotations. Generate contracts. Assist the Contract Administration Manager with all aspects of contract administration duties. Maintain Contract Files. Ensure that all queries and tasks are dealt with efficiently and with professionalism. Maintain CRM Database/Fleet Management/Maintenance Control and update daily. Generate Excess hour calculations, RPI Contract price Reviews, Notice of expiries to customers. Ensure adherence to company procedures in line with Company policies, Health and Safety procedures and ISO 9002 quality standards. To deal with colleagues on a highly professional level. To perform other duties appropriate to the general character of the position as required. Support the Salesforce development for the Contracts Department. BASIC QUALIFICATIONS Education: Educated to GCSE level or equivalent. Experience of using Microsoft packages Proficient in Excel NVQ Level 2 Administration Qualification Experience: Administrative Experience minimum 2 years IFS experience desirable Previous experience in a customer services role. Knowledge and Skills: Desirable knowledge of the transport/refrigeration industry Ability to think on their feet, work independently as well as within the team Calm under pressure Accurate Database management Confident and friendly manner Ability to meet deadlines, task orientated, prioritization Excellent communicator both verbally and written Dealing with internal and external customers and building relationships Numerate, literate, methodical, systematic ADDITIONAL LOCAL NEEDS Driving License Hybrid working arrangements between the Cambridge and Home office
