Sales & Lettings Co-Ordinator

• Experience of Jupix software would be preferable but not essential
The successful applicant will be expected to cover all Sales/Lettings administration duties and organising the Sales & Lettings team as assigned and must be flexible and able to prioritise a changing to do list. Your duties will be as follows however, not limited to what is listed:
• Co-ordinating & organising the Sales & Lettings team and holding briefings daily
• Progress the Sales & Lettings departments for the business
• Building relationships with vendors and maintain regular communications to keep them informed of our processes for sales
• Network, search and develop new business opportunities, including canvassing to generate new business leads for rental & sales properties.
• Provide information, advice and answer any queriesto potential new landlords, vendors and tenant’s
• Quality check customer and property data prior to sign up to ensure all company requirements are met
• Handling enquiries over the telephone or personally, in reception and taking any necessary action or delegate to the correct department
• Email & Diary Management on a daily basis
• Ensuring Monthly targets are met, as to business requirements
• Liaise with prospective purchasers, vendors, landlords and assist in arranging viewing’s, appointments, market appraisals, and negotiate offers.
• Liaise with customers and internal team to facilitate a seamless end to end lettings process
• Working alongside with the negotiators/Lettings Manager to ensure all properties are ready prior to moving in clients; sending works orders, arranging pre-tenancy works such as professional cleaning, gas safety certificates, EICR etc.
• Follow through with tenancy referencing via referencing company, and where required submit data on their portal
• Progressing tenancies: drawing up contracts & all tenancy related documents (new lets/renewals)
• Scheduling of inventories, check in and check outsincluding handling of tenants notices to vacate – Notice to Quit’s
• Ensure all keys are correct for the properties (new/re-lets)
• Advising utility/council tax companies of meter readings, tenant details, switching over utilities – move ins/outs.
• At all times to operate in accordance with current legislation and ensure legal requirements are met i.e. in relation to gas safety, EPCs, Deposit registration, tenant/guarantor documentation etc- prior to moving in & renewal tenancy contracts
• Responsible for renewing warranties for new and existing stock
• Handling all administration for welcome packs and providing customers with these within 24 hours of contract commencement date
• Occasional Service feedback calls to customers in reference to diary appointments
• Sales administration support where required
• Accurate data entry onto our software
Duties to be assigned to Lettings Co-Ordinator once fully trained;
? Alan Boswell/Rightmove & FCC Warranty renewals & new warranties & system allocation
? Initial contract setup on Jupix on each new tenant/new landlord
? Monitoring of Abdul Mailbox intervene where necessary
