Job overview
We are seeking an enthusiastic and motivated individual to join the Neurosurgery team at King’s College Hospital NHS Foundation Trust as a Neurosurgery Apprentice. In this role, you will support the team with a variety of tasks, including clinic bookings, preparation for Multidisciplinary Team (MDT) meetings, planning patient admissions, and responding to patient queries via telephone and the mailbox. This apprenticeship provides hands-on experience of the essential administrative tasks within the Neurosurgery Department. The post holder will be part of the multidisciplinary neurosurgical teams, offering administrative support to ensure the effective delivery of clinical services. This role provides an excellent opportunity to develop your skills in a supportive environment, with comprehensive on-site training.
The position is part of a Level 2 Business Administration Apprenticeship, fixed-term for up to 18 months.
Main duties of the job
As a Neurosurgery Apprentice, you will play a crucial role in supporting the Neurosurgery team in delivering high-quality patient care and services. This will include, but is not limited to patient telephone communication, booking appointments, arranging admissions and preparing multidisciplinary team meetings.

Detailed job description and main responsibilities
Main Duties & Responsibilities
Outpatients, Admissions, and MDT Support
- Coordinate patient admissions, ensuring documentation is accurate and up to date, while addressing patient and family queries.
- Work with the multidisciplinary team (MDT) to plan admissions and provide patients with necessary information.
- Manage waiting lists, admission data, and patient bookings, ensuring smooth clinic operations.
- Support MDT meetings by preparing materials, maintaining records, and following up on treatment plans and appointments.
- Assist with general outpatient clinic bookings, ensuring accurate scheduling and communication with patients and staff.
- To support the coordinators in managing patients, waiting lists and admissions for specified consultants and practitioners.
- To use EPIC to book admissions for surgery, outpatient appointments and arrange multidisciplinary team meetings.
Communication and Teamwork
- Respond to emails in a professional and timely manner.
- Respect patients on the phone.
- Work closely with the multidisciplinary team, consultants, nurses, and administrative staff to support the delivery of high-quality patient care.
- Ensure clear and professional communication with patients, colleagues, and external partners, maintaining a respectful and positive approach.
General Administrative Support
- Carry out general administrative tasks, such as filing, data entry, and maintaining patient records, ensuring all documentation is accurate and confidential.
- Provide support to consultants and clinical staff with tasks as directed by your line manager or senior management.
- Collaborate with other team members to ensure the smooth running of the neurosurgery department’s daily activities.
Compliance & Health & Safety
- Adhere to all hospital policies, including health and safety, infection control, and patient confidentiality.
- Report any issues or concerns to your line manager or senior management as appropriate.
Learning and Development
This apprenticeship offers structured learning and development opportunities to help you grow professionally and gain practical skills. You will have access to mentorship from senior clinical staff, regular reviews, and training modules related to patient care, healthcare administration, and neurosurgical procedures.
Person specification
- Maths and English grades A-C or equivalent.
- NHS or Healthcare Experience.
- Experience of running and maintaining computerised databases.
- Able to work consistently with minimal supervision.
- Basic knowledge of cancer and its management.
