Support senior leaders and drive projects that shape the future of entertainment as an executive assistant at Channel 4!

The Streaming department lead the design and delivery of the streaming strategy, roadmap and growth agenda across Channel 4, working cross-functionally with the Content, Marketing, Technology and Commercial teams. They are directly responsible for the design and delivery of Channel 4 on the web and across our mobile, console and big screen apps, to create an easy to use, error-free, but uniquely "Channel 4" experience.

The Corporate Legal & Governance department at C4 is responsible all advising on the legal aspect of all non-programme related matters to include: (i) negotiating and contracting deals for all non-programme related areas (so excluding Commissioning and Acquisitions) including Ad sales, Corporate, Commercial & Business Development, IT, Procurement, Corporate Services, Consumer Insight, 4 Creative and Strategy; and (ii) advising on regulatory matters including Data Protection, Freedom of Information and Channel 4's statutory requirements.

This role will also work closely with the Streaming Business Director providing the highest level of support across a range of areas and also provide support to the Controller of Corporate Legal & Governance whose team sits in the Commercial Affairs department.

Responsibilities

  • Provide administrative support, including inbox and diary management, travel arrangements, as well as processing of invoices and expenses
  • Provide administrative support to the Streaming Business team, including processing invoices and POs, providing light-touch diary support to the Growth and Product leads, and leading on key team activities e.g. planning team offsites and regular all-team meetings
  • Ensuring that all meeting and change requests are answered and correctly prioritised, and the days run to schedule
  • Arrange and coordinate internal and external meetings, including scheduling, organising rooms, welcoming guests, checking equipment and booking catering (if required)
  • Attending meetings and taking accurate minutes when required
  • Help guide managers and staff through new systems and policies as they are introduced (ie. Training and guidance on the new HR systems, IT software)
  • First point of contact for both internal and external stakeholders
  • Organise events, including departmental sessions, away days, and social events.
  • Compose department-wide communications, with a well-defined tone and style
  • Assist with creation and distribution of reports, presentations and project plans as required
  • Work closely with other Executive Assistants from across the company, including helping during times of high workload, and covering for absences
  • Work with HR to ensure smooth admin of confidential organisation items, such as staff changes, new joiners, and office space
  • Submit and track expenses and invoices on the company systems
  • Undertake all other reasonable administrative duties as needed

Knowledge, skills and experience

  • Previous experience in a demanding EA or senior PA role, working with senior leaders
  • A pro-active, well-prepared, flexible multi-tasker, with great time-management - always delivering high quality on time
  • Great prioritisation & organisational skills, including the ability to understand the company strategy and convert that into an ability to prioritise workload & requests accordingly
  • Ability to manage a busy and often changing diary
  • Event planning experience
  • Experience in creating presentations
  • Excellent verbal & written communication skills, and the ability to apply different styles depending on the need
  • A great networker, who understands culture and builds relationships easily, and can maintain excellent, collaborative working relationships even under challenging circumstances and timelines
  • Calm, polite, positive and friendly under pressure
  • Great Microsoft Office skills - Outlook, Teams, PowerPoint, Word & Excel
  • Complete discretion in managing confidential materials and issues
  • Prior experience in TV is not essential, but the ideal candidate will have a passion for TV and C4 programming

Hybrid working

From September 2023, C4 has operated a 60/40 working pattern, equating to three office days per week.
