ACCOUNTS ASSISTANT – JOB DESCRIPTION Working Days and Hours: Monday to Friday. 9.30am to 5.30pm Location: One Crown Court, London, EC2V 6LR. Travel to other offices is encouraged and reimbursable. Overview of Role We are looking for a motivated and detail-oriented Accounts Assistant to join our dynamic finance team. This position offers an excellent opportunity to develop your finance and accounting skills in a professional and supportive environment. You will assist the Head Cashier in their day-to-day financial operations, ensuring accuracy and compliance with legal and financial regulations. You will report directly to the Head Cashier as well as work with the Senior Legal Cashier. You will also be supported and mentored by the Head of Finance and as you develop and grow in your role, you will be directly supporting and working with our fee earners and secretaries. This is an exciting time to join the firm as we have ambitious growth targets, are on the hunt for a new and exciting London office and implementing new systems. Most notably, we are changing our Project Management System (PMS), which will have a substantial impact on working practices. A flexible approach and attitude is therefore essential, as well as a willingness to take on new tasks as and when required, e.g. supporting with month end billing. As a busy team, there are pressure points at certain times of the month, especially when it comes to month-end billing. Flexibility with working hours during these periods is important, in order to ensure we can close the month-end books within six working days post month-end. Your main role will depend on the priorities set by the Head Cashier and will include but is not limited to the below: Accounts Payable and Receivable o Process supplier invoices, ensuring accuracy and correct coding. o Managing our monthly supplier payment run. o Reconciling and follow up on supplier statements. o Assist with generating and sending out client invoices (this averages around 900 client invoices per month). o Credit control, monitor and follow up on outstanding invoices and liaise with clients for payment collection. This will involve direct communications with our clients, via email and telephone, so a confident, professional, helpful and supportive manner is essential. Bank Reconciliation o Assist with daily reconciliation of firm and client bank accounts in compliance with legal regulations (e.g. Solicitors Regulation Authority). o Help maintain accurate records of transactions in both client and office accounts. o Investigate and resolve discrepancies in a timely manner. Data Entry and Maintenance o Maintain accurate financial records in accounting systems. o Input data into ledgers, ensuring records are up to date and free of errors. Financial Reporting o Support the preparation of monthly and quarterly financial reports. o Assist with preparing documentation for audits and financial reviews. Administrative Support o Handle incoming and outgoing team correspondence. o File and maintain documents securely. o Assist in organising and maintaining client billing information. Other Responsibilities o Support the Head Cashier with ad-hoc tasks as required. o Maintain confidentiality of sensitive financial information at all times. Role Requirements · At least six months’ experience in a similar role · Excellent attention to detail and high level of accuracy · A proactive, flexible, ‘can and will do’ attitude with a willingness to learn and grow · Strong oral and written communication skills · Ability to communicate clearly and in a professional manner · Excellent client care approach · Ability to work in a fast paced environment and manage a busy workload · Being able to manage client and colleague expectations effectively · Excellent organisational and prioritisation skills · Being able to work independently and part of a team · Ability to multi-task and manage sensitive documents · Strong IT skills, particularly with Excel and online banking portals · Familiarity with accounting software (e.g., QuickBooks, Xero, or other legal accounting systems) is beneficial. · Educational history in Accounting, Finance or a related field is beneficial but not essential.
