Our client based in Ilford is looking for an Office Manager to join their team on a permanent full-time basis (a 4-day working week will also be considered). The ideal candidate for this role will have experience working within Health & Social Care and have an advanced DBS certificate and OFSTED Knowledge. Your role is to support the Registered Manager to ensure the smooth and efficient running of the House by ensuring that the facilities and organisation of the House are safe and managed on a day-to-day basis.
Duties for the Office Manager will include: -
* Administrative Office Duties including acting as reception providing a focal point for visitors and telephone enquiries, promoting a positive image and professional service approach.
* Managing petty cash and appropriate records.
* Maintain records of all orders and invoices submitted for reconciliation to Finance.
* Purchasing stock and ensuring that costs are agreed and approved.
* Ensuring that all equipment is maintained and that each room / flat has the necessary equipment for each family and that the maintenance log is kept up to date
* Management of post and providing clerical support to the senior team and, when appropriate other staff, including diary management, minute taking, photocopying and filing.
* Responding to enquiries, sending relevant information and maintaining records
* Ensuring all necessary admission details are obtained from the commissioning agency and that the occupancy spreadsheet is kept up to date and submitted as required
* Ensuring any additional fees are agreed in writing and forwarded to finance and chasing outstanding invoices as necessary
* Ensure HR and Finance team are informed of details of all new starters and leavers
* Ensuring that the electronic systems are tidy and ordered.
* Maintaining a database of all HR, Training and policies and dates for review
* Alongside the Manager, ensure that data protection and confidentiality is always maintained and in line with legislation and audits are completed on time.
* Take a lead role in oversight of health and safety identifying and reporting any concerns.
* Management of maintenance contracts, ensuring that annual checks are diarised and completed and managing any repairs identified.
* Attending staff meetings and staff training sessions as required.
You will need: -
* A good understanding and experience of health and social care requirements/standards (OFSTED)
* To understand the sensitive nature of the work undertaken; have a high level of integrity, flexibility, motivation and flexible approach to work.
* Strong administration, communication and organisational skills with the ability to work flexibly, under pressure and to deadlines.
* A good understanding of Health & Safety and Data Protection
* Good knowledge of MS Excel, Word and Outlook
* Ability to communicate effectively at all levels.
* You will need to have an enhanced DBS (provided for by the company)
In return for your hard work, our client is offering a salary of £26,000 - £30,000pa and on-site car parking. The working hours are 9.00am – 5.00pm Monday to Friday.
