Job Advert: Personal Assistant Pay rate: Competitive Duration: 3 months contract (covering Sickness) Location: London EC2V 7AE Work pattern: Mon to Fri 9am - 5pm Hybrid (2-3 days a week in office, some travel) Start date: ASAP Adecco UK on behalf of our prestigious client is seeking a skilled and organised Personal Assistant to provide crucial support to their Executive team. In this role, the successful candidate will play a vital role in optimising the time effectiveness of the Executive team and ensuring seamless operations in their office. Responsibilities: Highlighting the core values and behaviours of our client, the Personal Assistant will manage the Executive's calendar to achieve maximum efficiency. They will prioritise and plan a demanding schedule, providing comprehensive information to support all appointments. In cases where the Personal Assistant supports an Executive and/or a group of Grade G Managers, they will ensure the day-to-day management of the office is maintained at a high standard, in line with our client's policies and standards. Facilitate travel arrangements, both within the UK and potentially overseas. Effectively manage incoming queries via email, telephone, and post, deciding on priorities/actions and handling customer complaints independently. They will respond to correspondence without reference and only escalate matters to the Executive when necessary. Demonstrate initiative and judgement when prioritising the Executive's workflow during frequent absences, identifying key issues, and escalating more complex matters as needed. Collaborate with senior stakeholders within and outside the organisation, clarifying requirements to support business decisions. Gather and provide information on assorted topics, including committee materials. Collaborate with the Executive Office team to ensure compliance with policies and standards outlined in the Executive Office Handbook and Group guidelines. This includes managing and maintaining critical records within the office's shared drive. Identify, monitor, and mitigate risks, escalating concerns, as necessary. Undertake project work as required. Requirements: Relevant factors considered for the Grade C level include the grade of the Executive, interaction with senior stakeholders, ability to make decisions with limited referrals, complexity of the supported area, volume of meetings with external parties, level of administrative support required, and the amount of travel and time spent away from the office. Strong organisational skills and the ability to manage a demanding schedule effectively. Excellent communication skills to manage various forms of correspondence and engage with stakeholders. Proven experience in providing high-level administrative support and maintaining records. Demonstrated ability to use initiative and judgement in making decisions. Proficiency in gathering and providing information on a wide range of topics. Diligence and the ability to manage confidential information with discretion. Experience in handling Volume of meetings with external parties (e.g. customers, regulators, third party suppliers) The successful candidate will join a dynamic and professional team, supporting our client's Executive team in achieving their goals.
