Viridis Real Estate invests in real estate projects whose value can be increased considerably through major redevelopment initiatives, in established locations, such as London, and along with emerging European cities in Austria, Germany, Portugal and Spain.About the Role:To be a key part of the Operational Management team with responsibility for the day-to-day management of planned and reactive maintenance across LUMIS Living UK properties,Ensuring that the H&S and FM management aligns with company policies, procedures, and industry best practices.To provide comprehensive two-way communication to staff and customers and maintain statutory compliance and operational control of facilities within LUMIS Living UK Estate.Ensuring facilities services are delivered within the agreed budgets.To establish full digitised PPM & compliance schedules for each property with reportable dashboardsTo establish 25-year lifecycle plans for each propertyKey Responsibilities:Customer ExperienceDevelop and maintain a professional working relationship with the site GM and other influential individuals within or connected to the business. Make regular contact including, but not limited to, attending relevant meetings, working groups, forums, etcOperational Strict adherence to implementation of statutory compliance, health, safety, and environmental compliance, HR policies and procedures, and other statutory regulations and policies.Ensure that maintenance operatives are progressing, updating and completing jobs in a timely and accurate fashion to fulfill required SLA’s.Manage and direct as necessary suppliers and third-party sub-contractors to meet LUMIS requirements.Provide and ensure that ‘toolbox talks’ are conducted and recorded.Prepare monthly reports for the Head of Operations and other business reports as necessary.Share operational best practices within the business.Ensure that the operational brand built environment is maintained, including cleanliness and standards of equipment, tools, clothing, PPE etc.Plan and manage resource levels to adequately deliver planned and reactive works in line with contractual requirements.To ensure all necessary reports are produced and available for discussion at client meetingsTo ensure all reports are checked and issues dealt with on a regular basis.To ensure all Health and Safety audits are actioned as necessary and that all FA’s are following the required safe working practices.Manage productivity levels of maintenance operatives on a daily basis.Monitor and manage the scheduling of jobs on the Elog system, to ensure all jobs are scheduled within the SLA and achieve the required KPI.Financial Preparation of monthly management accountsProvide timely and detailed information in support of development of budget plans.Ensure that subcontract paperwork is processed within the 5 day turnaround.Maintain and manage acceptable levels of expenses of report lines.Management and analysis of monthly area cost reports, focusing on costs and budget variance.Continuously review the operational efficiencies with the Finance Manager and Commercial Manager, to include such areas as jobs per day, levels of material costs, levels of sub-contractor usage and out of hours levels.PeopleConduct yourself within the LUMIS Living values Ensure objectives are set, and performance is measured through appraisals and regular reviewsManage, motivate, train, coach, and support your team to deliver the required standardsCommunicate relevant information to your team, ensuring it is cascaded timely and effectively Ensure that a customer-focused approach is maintained throughout the designated properties.Ensure Supervisors attend required meetings with UNITE Property ManagementNurture the talent pool within the region and develop strengths and weaknesses of individuals in the report line.Manage the productivity, SLA, and KPIs of those under your supervision.Ensure all maintenance teams are trained in the relevant areas to perform required tasks.Person SpecificationProven background in a similar role in a student Co-living Hospitality environmentExperience working within an environment where high emphasis is placed on excellent Customer ExperienceIT capability, working with FM systems BMS, and PPM scheduling toolsProven track record in achieving financial targetsAbility to manage, communicate, and review workloads.Health & Safety regulations Building Safety Act and property compliance experienceRemote Management and appraisalsUnderstanding of working to SFG20 Standards & CIBSE Guide M 2023Industry recognised qualifications would be preferred.MIWFM CIWFM or similarFM Degree Or 5+ Years in an FM managers position
