My Design Co
We are a small and passionate design company based in Shoreditch, London. UK. Working on a variety of creative projects across branding, and visual communication, we also have an online retail company selling bespoke paper and wooden products. We are looking for a Project Administrator to help us keep our projects and all administration requirements on track.
Role
As our Project Administrator, you will support our two directors, ensuring that all the behind-the-scenes work is organised and well-coordinated, and ensuring internal communication and paperwork are on point throughout the business.
Key Responsibilities
- Provide day-to-day administrative support to the directors, helping to keep everything running smoothly.
- Assist in scheduling and tracking project timelines, ensuring key milestones are met.
- Keep project documents up-to-date, including contracts, invoices, and reports.
- Help monitor project budgets, track expenses and ensure projects stay on target financially.
- Act as the point of contact for customers and suppliers to our online retail business, ensuring clear and timely communication.
- Organise meetings, prepare agendas and take minutes to keep everyone in the loop.
- Support the team with ad-hoc tasks as needed, from ordering supplies to coordinating deliveries.
Skills & Experience
- Previous experience in an administrative or project support role.
- Excellent organisational skills and the ability to juggle multiple tasks at once.
- Strong communication skills, both written and verbal, with a friendly and professional manner.
- Attention to detail and the ability to keep things running smoothly and on time, especially when deadlines are tight.
- A proactive, problem-solving attitude, willing to pitch in wherever needed.
- Good mathematical skills, with previous experience in writing costing proposals and invoices.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with project management tools such as Mondays and Notion - We would welcome and encourage any new suggestions regarding organising and efficiency.
