About the TUCO Foundation and the role The TUCO Foundation is a recently established charity, wholly owned by The University Caterers Organisation Ltd (TUCO), an independent membership body for in-house caterers. Its aim is to provide procurement support, training and advice to those working in public sector catering. TUCO members are primarily UK universities and colleges and the TUCO Foundation offers learning and development opportunities for catering and hospitality staff within these institutions through the TUCO Academy. We are looking for an enthusiastic, well-organised individual, with a flexible approach and experience of organising meetings and events. The successful candidate should have strong customer service skills and maintain a professional attitude in their work. The position involves various administrative tasks, including maintaining spreadsheets, taking meeting notes and supporting the Foundation team with duties relating to the administration of exams and courses with the Awarding body - Highfields. You will be primarily home-based but occasionally required to travel throughout the UK to facilitate meetings. Duties: Work closely with the TUCO Head of Academy in all aspects of managing the Academy and Foundation. ·      Monitor deadlines and business terms and conditions to minimise costs through changes and cancellations Take event bookings and ensure there is clear communication with attendees over the Academy activity booked. Keep accurate records of all bookings. ·      Making all the arrangements, confirmations, and reservations for courses and exams with awarding bodies. Including creating course codes and ensuring the institution has a trained invigilator for each exam to ensure compliance. ·      Send the qualification certificates and records of attendance to attendees. ·      Follow up on invigilation errors to comply with the awarding bodies requirements. ·      Maintain and update a spreadsheet with all full members loyalty credits and usage through the TUCO Academy. Liaising with the Head of Finance and the Head of Academy to ensure this is correct and up to date. ·      Administrate the e-learning platform with Upskill People Keep a record of all member suggestions on potential Academy events and activities. Ensure the Academy web pages are accurate and up to date. Obtain, analyse and record event feedback and report to the Head of Academy. Ensure all trainers adhere to the TUCO Brand Guidelines. ·      Liaising with relevant meeting & training room venues, hotels, restaurants, amending timings, arranging visits with universities, menu options and dietary requirements, and rooming lists for meetings or courses and events. ·      Setting up online meetings using Teams and keep attendees informed of the agenda and previous meetings notes. ·      Manage communications relating to participation of meeting attendees including their accommodation & travel requirements if required. ·      Take meeting notes and distribute in a timely manner. ·      Maintain the CRM (Customer Relationship Management) system with the correct up to date contacts for the TUCO Member and Supplier directory. In addition to the duties and responsibilities listed, the post holder is required to perform other duties assigned by the Head of Academy consistent with the post either working with or on behalf of other departments. The right person for the role should have experience of: ·      Good computer skills - knowledge of Microsoft Word/Excel. ·      An eye for detail. ·      Excellent negotiation skills. ·      Good with people. ·      Multi-tasker - spinning lots of plates at once. ·      Excellent at working under pressure and to deadlines. ·      A high degree of flexibility and patience. SALARY: £25,327                                        WORKING HOURS: 36.25 hours Mon to Fri CONTRACT: Permanent                               RESPONSIBLE TO: Head of Academy EFFECTIVE FROM: As soon as possible     BASE: Remote, working from home
