adi Group Services Fleet Coordinator


About the Role


We are currently seeking a detail-oriented and proactive Fleet Coordinator to join our team. The Fleet Coordinator will be responsible for overseeing the maintenance and operation of our company's fleet of vehicles. The role will frequently involve driving of company vehicles inclusive of vans locally.


Specifically, your key responsibilities will include:


  • Day-to-day administration of processing orders and raising invoices.
  • Supporting project managers, ensuring client purchase order numbers are obtained and applied to invoices, and resolving any invoice rejections and customer queries.
  • Inputting and maintaining data records within spreadsheets and systems, saving documents correctly, and responding to client queries.
  • Keeping records and documents for vehicle service, maintenance, MOT, Tax, and V5.
  • Processing driving for work applications and conducting employee driving license checks according to company policy.
  • Managing fines issued to employees.
  • Administering the issuance of new and replacement vehicles.
  • Coordinating and overseeing the scheduled service and maintenance of company vehicles.
  • Coordinating and managing vehicle repairs; negotiating repair costs and parts pricing with vendors.
  • Arranging hire vehicles as needed.
  • Collecting and analysing information including mileage and fuel costs, service schedules and maintenance histories, car availability, and vehicle locations.


About you


We would like to hear from you if you have:


  • Proven administration and coordination experience
  • A full UK driving license is required
  • Ideal candidate will have experience within Fleet Administration
  • Previous experience in managing client orders and processing invoices
  • Strong PC skills, particularly in MS Office, including Excel and Word
