Job Requirements / Description
Role Purpose The overall purpose of this position is to be responsible for all administrative functions on site including personnel, payroll, purchasing and other administrative duties where required. General Administration * Maintaining holiday records * Maintaining knowledge of the whereabouts of designated individuals * Answering the phone professionally, taking messages and passing them on * Receiving and distributing incoming post and issuing outgoing post * Monthly H&S KPI reporting * General administration duties as and when required * Creating and tracking POs for all departments * Supporting KPI reports Human Resources Administration * Update and maintain the appropriate personnel records / Training records * Produce contracts of employment for non-salaried staff where required * Update and maintain the time and attendance system, where appropriate * Support training and maintaining training records * Assist in minute taking during investigation / disciplinary meetings * Track and file all toolbox talks, start of shift briefings, H&S / quality sign offs * Keeping employee contact list up to date * End of month agency and contractor hours reporting * Update lateness / absence trackers * Create report for attendance awards Payroll Administration (Support) * Working Knowledge of Kronos T&A system. * Liaison with site managers on payroll adjustments * Liaison with head office payroll * Providing a backup point of contact for site payroll issues * Assisting with new starter packs for Payroll and removal of leavers. * Cross reference of attendance of “Teams” to Kronos system & Agency costings * Reporting of payroll issues to contract manager Purchasing Administration Raising of Purchase requisitions by the necessary authority. Expediting of orders and liaison with suppliers to ensure timely delivery of goods. Liaison with supplies to resolve discrepancies on deliveries. Ordering and tracking consumables Tracking purchasing & receipting of purchase orders on Navision together with Managers Workwear Administration Individual ordering and receipting of workwear Issue to relevant individual Control individual budget allowance for each calendar year Performance Measures Achievement of yearly personal targets and objectives Feedback from internal colleagues and senior management Completion of all tasks and projects within agreed timeframes Internal and External Relationships The ability to maintain professional relationships with internal and external staff at all levels Qualifications, Knowledge and Experience Essential Previous Administration experience Highly proficient in excel and can analyse and understand a varied range of data in different formats daily Must be able to engage within the cross functional teams and key stakeholders at all levels in the business Must be able to manage and deliver operational processes and key work streams to meet the strategic objectives of the area and to drive efficiencies Experience in a fast-paced customer-facing role and be able to create / analyses data reports using excel by given deadlines They will need to be a good communicator with the ability to communicate ideas. Able to work to deadlines and deliver requests for management information and reporting Excellent organisational skills and attention to detail. Quick learner with the ability to work with new tool sets and offer improvement ideas to these Desirable Educated to GCSE level or equivalent, to include Maths and English Ability to decipher data and produce concise summary reports for senior management A good understanding of the wider impact the engineering function has on a manufacturing business Other Information Ability to work flexible hours and will work in an office or in shop floor areas supporting management team. * Salary 25K * 5% company pension * X 2.5 life assurance * 25 days holiday * Company sick pay scheme
