About the Role

We are seeking a detail-oriented and motivated Buying Admin Assistant to support our buying team. This role is ideal for individuals who are passionate about the retail industry and eager to begin their careers in buying and merchandising. As a Buying Admin Assistant, you will provide crucial administrative support to the buying team, helping to ensure the smooth operation of our product selection, brand outreach, brand onboarding, and procurement processes across various channels and markets.


Key Responsibilities

  • Purchase Order Analysis and Management: Support the buying team to execute and prepare new purchase orders and make required changes to existing purchase orders. Track and analyse replenishment timeframes across suppliers. Coordinate between the logistics team and external supplier partners to ensure on-time delivery of orders. 
  • Market Research: Assist in conducting research on Asian Beauty market trends, competitor products, and customer preferences to support the buying team in making informed decisions.
  • Supplier Communication: Liaise with suppliers to confirm order details, monitor delivery schedules, and address any issues that may arise. Assist with note-taking and preparation for Supplier meetings.
  • Data Entry and Analysis: Enter and maintain accurate data related to products, pricing, and inventory levels, and assist in generating reports for the buying team. Contribute to buying product deep dives and sales recaps.
  • Product Catalogue Management: Help manage the product lifecycle by ensuring new products are added to our inventory systems, and discontinued products are removed in a timely manner.
  • Brand Onboarding: Coordinate and track the onboarding process for new brands, ensuring all necessary documentation, product information, and inventory details are accurately entered into our systems. Monitor timelines and follow up with relevant stakeholders to ensure a smooth and timely onboarding experience.
  • Compliance Management: Learn and develop knowledge to speak with suppliers on product compliance in the UK, Europe and the US.


Essential Qualifications:

  • Passion for beauty and an eye for product trends, familiar with Asian/Korean beauty is a bonus.
  • Prior experience in buying, beauty experience is not required but preferred. 
  • High level of curiosity and enthusiasm for continuous learning and professional development.
  • Strong organisational and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent analytical skills with the ability to interpret complex data and trends.
  • Strong potential for critical and strategic thinking.
  • High attention to detail and a commitment to accuracy in all tasks.
  • Proactive, can-do attitude with the ability to thrive in a fast-paced environment.
  • Proficiency in English with excellent written and verbal communication skills.
