Become part of a collaborative, collegiate internal cohort of EAs.Role Overview:This role will see you support one MD in a 1:1 capacity taking full ownership of a busy inbox and calendar. The successful candidate will have a minimum of 5 - 8 + years of experience as a project coordinator or an executive assistant within an executive search or financial services firm with exposure to managing multiple calendars and will thrive in a busy, client-facing environment. You must demonstrate a high level of proactivity, initiative and drive in remaining three steps ahead at all times, and enjoy working amongst a collegiate cohort of internal EAs. With a broad scope, this particular executive is involved in facilitating and leading various projects, liaising with multiple stakeholders across each project. You must therefore be someone who has good judgement to prioritise, who holds ownership over their role and who enjoys teamwork. Responsibilities:Calendar management for the MD, including scheduling meetings.Full inbox management for the MD, including actioning and responding on their behalf.Travel coordination including itineraries and travel packs.Maintaining work products and documents; including updating and preparing PowerPoint presentations.Managing and updating the CRM including key contacts, and any other logistics as needed.General document management, including printing, filing, and binding, and maintaining electronic records.Liaising with external stakeholders and assisting with ad hoc projects when required.Any other administrative task to support the efficiency of the team.Candidate Requirements:Minimum 5 - 8 years experience as an Executive Assistant or Project Coordinator within an executive search or financial services firm, or a professional, established environment. Someone who can work in an office a minimum 3 days per week, and flexibly week-to-week.Someone who demonstrates genuine care for and a sense of pride in their work, who can work collaboratively amongst the administrative cohort.An intuitive thinker/worker, who maintains a 'bigger picture' mindset, with strong business acumen to be able to prioritise.Bachelor's degree preferred (but not essential).The Next Step:We are moving quickly on this role and are conducting interviews immediately.
