We want to attract, develop and retain individuals with different experiences, backgrounds and perspectives.About the Role:To be responsible for managing the effective and efficient administration of external examinations in accordance with the Joint Council for Qualifications (JCQ) regulations (on behalf of the JCQ member awarding organisations) and/or awarding organisation rules for exams administration in a consistent and secure fashion, thereby helping to maintain the integrity of the assessment process. The Exams Officer will be responsible for the administration and coordination of all exams including Functional Skills examinations at Best Practice Network. This role involves ensuring that all examination processes are conducted in compliance with regulatory requirements and awarding organisation standards. The Functional Skills Exams Officer will work closely with internal and external stakeholders to support the successful delivery of examinations and the achievement of positive outcomes for learners. Key Responsibilities: To support the Head of centre in ensuring that the centre is compliant with the JCQ regulations and awarding organisation requirements in order to ensure the security and integrity of the examinations/assessments at all times To act on behalf of, and be the main point of contact for, the centre in matters relating to the general administration of awarding organisation examinations and assessments To closely liaise with key stakeholders (external and internal) to ensure exams administration processes are strictly followed and key deadlines met To ensure examinations are conducted in accordance with the regulations Through taking an ethical approach and working proactively to avoid malpractice among students and staff, supports the head of centre in taking all reasonable steps to prevent the occurrence of any malpractice/maladministration before, during the course of and after examinations have taken place Examination Coordination: Oversee the scheduling, planning, and administration of examinations including all Functional Skills examinations. Ensure the accurate and timely registration of candidates for examinations. Coordinate the distribution and collection of examination materials, ensuring security and compliance with awarding organisation guidelines. Effectively manage the conduct of examinations in accordance with JCQ regulations and/or awarding organisation rules. 2. Quality Assurance and Compliance: Ensure all examination activities comply with relevant legislation, regulatory standards, and best practice guidelines. Liaise with awarding organisations and regulatory authorities to stay updated on changes in examination requirements and standards and implement appropriate changes to process, including training for tutors as required. Conduct regular audits of examination processes and documentation to ensure compliance and continuous improvement. Work with SENCO to ensure special access arrangements are correctly in place and shared with Awarding Organisations. Observe the awarding organisation published terms, conditions and processes for the registration or entry and withdrawal of candidates for their examinations/assessments 3. Data Management and Reporting: Maintain accurate records of examination entries, results, and candidate data. Ensure timely and accurate reporting of examination data to internal and external stakeholders. Analyse examination data to identify trends, inform decision-making, and support continuous improvement initiatives. Maintain and safely store special access arrangement data in line with ESFA timescales. 4.Stakeholder Engagement: Establish and maintain effective working relationships with learners, tutors, employers, and awarding organisations. Act as the primary point of contact for queries and issues related to Functional Skills and other examinations, providing expert advice and support. Coordinate communication with stakeholders regarding examination schedules, procedures, and results. 5. Continuous Improvement: Identify opportunities for innovation and enhancement of examination processes and systems. Promote a culture of continuous improvement within the examinations function. Lead projects and initiatives aimed at improving the efficiency and effectiveness of examination delivery. Undertake other duties appropriate to the grade and responsibilities of the role as may be required by the head of centre/SLT responsible for examinations, for example: The preparation for and conduct of internal examinations under external examination conditions.About You:Degree-level education or 3 years relevant experience. Relevant professional qualifications in examination administration or education management are desirable. Experience: Experience in managing examination processes, preferably within an educational or training environment. Knowledge of Functional Skills qualifications and assessment requirements. Experience in working with awarding organisations and understanding compliance requirements, rules and regulations. Skills and Competencies: Strong organisational and project management skills, with the ability to manage multiple priorities and meet deadlines. Excellent communication and interpersonal skills, with the ability to build and maintain effective relationships with a range of stakeholders. Analytical and problem-solving skills, with the ability to interpret data and make informed decisions. High level of attention to detail and commitment to maintaining quality standards.
