JOB TITLE:Finance Administration Assistant REPORTING TO:Finance Administration Supervisor RESPONSIBLE FOR: No Direct Reports MAIN PURPOSE OF JOB This role will be for the provision of finance and administration support. Responsible for financial administration in both purchase and sales ledger functions. PRINCIPLE DUTIES AND RESPONSIBILITIES The role will include. Accurate & timely processing & invoicing of customer invoices & credit notes Accurate and timely matching of supplier invoices and processing payment. Accurate & timely processing of external store sales documents Posting journal entries Accept, check, process and record phone payments. Assist in the processing of daily bank and cash reconciliation. Ensure accurate records are maintained regarding accounts, suppliers & customers. Accurate reconciliation of supplier statements monthly and liaison with relevant parties to resolve issues & anomalies. Relevant financial and accounting processes are adhered to and suggestions to improve these are made. Effective filing and management of documentation and information Work within GDPR guidelines. Support of and relevant cover for colleagues as required. Effective communication with all employee and external contacts as required. All company policy is complied with and supported. The role will involve supporting both the sales ledger and accounts functions. Support Company Accountant and Accounts Team with all accounting requirements as necessary. CRITERIA ESSENTIAL Skills Pays close attention to detail with good analytical skills. Strong interpersonal skills with the ability to communicate effectively at all levels with a willingness to help others work towards a common goal. Good organisational & planning skills Trustworthy with the ability to uphold privacy. Able to work to schedules and deadlines. Self-motivated positive thinker able to use own initiative. Good organisational skills with ability to prioritise workload to ensure deadlines are met Education & knowledge Strong Numeracy & literacy skills English language proficiency Hold a minimum of 3 GCSE (or equivalent) passes at Grade C or above including English and Mathematics or equivalent. Or At least 3 years previous experience in financial administration or similar function Experience At least 2 years previous experience in an Office environment Proficient in MS Excel and other standard IT systems. Experience in the use of an integrated information system. Desirable 1 year+ experience in financial administration or similar function Circumstances Has a flexible approach to working particularly at end of month or end of year as required.
