Department FunctionTHIS ROLE IS BASED AT OUR SCOTLAND BUSINESS UNITS - East Scotland 1 Masterton Park Dunfermline Fife KY11 8NX West Scotland Unit C - Lightyear Building Glasgow Airport Business Park Marchburn Drive Abbotsinch Paisley PA3 2SJLed by the Group General Counsel and Company Secretary, the Legal team are predominantly located within the BUs. The function’s overarching purpose is to ensure our BUs operate in accordance with the law, and to support the development of a compliance culture across the Group. Legal also help manage the Group’s risk exposure and liabilities, and protect its commercial interests. The team includes Regional Solicitors, who deal with land acquisitions and disposals; Dispute Resolution Solicitors, who deal with legal and regulatory complaints, conflicts and litigation and compliance matters (such as GDPR, competition and anti-bribery); and Divisional Legal Centre teams, who deal with the disposal of plots, including set ting up development s, part-exchanges and resales, and infrastructure and historic issues. The Legal team also support the central functions when entering into contracts or commitments (e.g. IT, employment and procurement contracts, professional adviser appointments, confidentiality agreements).Job summary/PurposeTo provide a proactive, service led, cost effective secretarial and administrative support to the Legal Director/Assistant Divisional Legal Managers and Conveyancing teams. The job has a key role managing the smooth running of the department that supports the business, particularly in relation to its key operation of plot sales, including the provision of accurate reports and forecasts.Please note: This role is based in Dunfermline/Paisley. Primary ResponsibilitiesResponsible for assisting with the secretarial and administrative support to the Legal Director/Assistant Divisional Legal Managers and the Conveyancing teams, including setting up/updating plot/transaction progress sheets, updating internal IT Systems and tracking documents used by various departments. Maintain high standards of presentation and accurate content of all documents and correspondence issued by the Department.Typing and/or producing correspondence to include offers, contracts and documents as directed. Preparation of Dispositions, Advance Notices, LBTT Returns and Land Registration Application Forms. Corresponding with external agents to ensure updates are obtained for weekly meetings. Assisting with mail for the Department and retrieving files for Legal Director/Assistant Divisional Legal Managers. Ensuring that the mail has been scanned and saved into the correct file with a copy emailed to the relevant Paralegal. Ensuring that letters are in the secure shredding after being uploaded to the system. Ensuring principal contracts are retained and stored/filed accordingly. Maintaining the filing archive and computer information systems utilised by the Department. Ensuring electronic files are clear and maintaining the department case management system. Dealing with telephone enquires as they arise and referring to the appropriate member of the Department or other Departments when required. Provide general office duties which will include filing, photocopying, scanning, audio/copy typing, telephone work, stationary orders and post etc (this list is not exhaustive) Completing various documents with key information that is issued to external agents on a monthly basis. Ensuring that the Shared Legal Inbox is monitored/maintained at all times. Recording incoming Completion Certificates. Ensuring that requests for copy Completion Certificates and Road Bonds are dealt with timeously and ensuring that payment is made.
