Administrative Team Assistant/ Research AssistantLocation: London, 5 days onsiteEmployment Type: Direct HireStart Date: As soon as possibleHours: Flexible, typically 8am-6pm BSTSalary: £55,000 - 75,000Role Overview:We are seeking an Administrative Team Assistant / Research Assistant to provide administrative and organizational support for 2 portfolio managers and their direct reports (8-10 individuals total). This role is ideal for someone with 2+ years of administrative experience who is eager to bring a fresh, bubbly personality to our client's team. The successful candidate will be a self-starter, capable of functioning independently in a fast-paced, dynamic, and demanding environment, and will handle several simultaneous projects with minimal supervision and exemplary follow-through.Key Responsibilities:Organize and manage a high volume of meetings, both internal and external.Cultivate and sustain relationships with broker sales teams to facilitate efficient meeting planning.Oversee calendar management, proactively resolving scheduling conflicts and ensuring the team is well-prepared for meetings, including coordinating travel arrangements.Provide support for corporate access needs within the team.Accurately log and maintain meeting information in the database.Collect, categorize, and manage research reports, financial models, and company financial documents.Coordinate travel arrangements, including flights, accommodations, and transportation for portfolio managers and team members.Process and manage expense reports for portfolio managers and the team.Work with key operational departments to plan training schedules for new hires and manage the onboarding process.Undertake special projects for the teams or International Equities management, utilizing various software tools (e.g., internal proprietary systems, FactSet, Bloomberg).Gradually build a basic understanding of key industries (e.g., energy, industrials, financials, consumer, technology, media, and telecom) to enhance team support.Gain familiarity with the technology infrastructure, investment approach, and risk management framework of International Equities.Actively participate in weekly business meetings with the teams.Skills and Experience:Minimum qualification of SVQ/NVQ Level 5 or HNC/HND; a Bachelor's degree is preferred but not mandatory.At least 2-3 years of experience as an administrative assistant, ideally within the financial services sector, though not essential.Proficient in Microsoft Office, including Excel, Word, PowerPoint, and Outlook, along with related software.Strong written and verbal communication abilities.Excellent time management skills, with the capability to juggle multiple tasks and priorities effectively.Highly organized, detail-oriented, process-focused, and able to work with a strong sense of urgency.Passionate about organization, process management, and multitasking, with a genuine interest in learning and taking on more responsibilities over time.Proactive in following up on tasks, anticipating potential issues, and ensuring all requests are fully addressed.Discreet and capable of handling confidential information with care.Mature, with strong interpersonal skills, and able to interact professionally with colleagues and senior management.A team player who can also work independently with minimal supervision.Skilled at problem-solving and adaptable, with the ability to serve as a resource for other administrative staff.
