Job Title: Building Operation and Maintenance Information Coordinator Location: London Salary Range: £30,000 - £32,000 per annum, depending on experience. Work arrangement: 4 days in the office and 1 day from home. Job Summary: The Building Operation and Maintenance Information Coordinator will report to the O&M Manager and work closely with project teams and suppliers. Their main responsibility is to compile, prepare, and deliver project operation, maintenance, and sustainability information to clients. As part of a small team, the coordinator will handle all client operation and maintenance information for assigned projects. They will also assist on larger projects when needed. This role is vital to delivering a seamless handover to clients, as O&M Manuals make up a key part of the company's promise of defect-free project delivery. The coordinator will also work with the team to improve and innovate how project information is provided, including learning new technologies like 3D data handling and Matterport scanning. Responsibilities: Work with various managers (Construction, Project, Design, and Technical Services) to determine project requirements and deadlines for O&M information. Collaborate with the Information Manager and project teams to set up contacts for sub-contractors and client professionals in the document management system, Procore. Become a Procore expert, coordinating the collection and review of O&M manual content among subcontractors, project teams, and clients. Maintain regular communication with sub-contractors to ensure O&M documents are submitted on time. Review and provide feedback on O&M documents to ensure they meet project requirements before sharing with the project teams. Communicate regularly with internal teams to ensure timely review and approval of O&M documents. Prepare final O&M manuals (USB, hard copy, or online), ensuring all necessary information is included and tailored to the project. Upload or format O&M manuals as required by client-specific systems. Attend project handovers to ensure smooth delivery of O&M materials to the client. Requirements: Experience in a similar role or relevant education, with strong IT skills (Word, Excel, Outlook, and database/EDMS experience). An interest in technology, data, and the construction industry. Strong communication skills to manage expectations and keep everyone informed throughout the project. The ability to multi-task, prioritize, and manage large amounts of information accurately. Initiative, flexibility, and the ability to work independently and as part of a team. Great attention to detail to ensure all information is accurate and up to standard.
