DIGITAL ASSET CO-ORDINATOR GENERAL RESPONSIBILITY Tourism Northern Irelands Social & Digital Marketing Team is responsible for promoting Northern Ireland as an internationally competitive destination. The team uses a range of resources including social media, digital advertising, and content marketing to target consumers, publish inspirational content, and curate media in a variety of formats in support of tourism development. Tourism Northern Ireland has partnered with Filte Ireland and Tourism Ireland to develop a Digital Asset Management (DAM) platform to host a variety of high-quality media, such as images and videos of the island of Ireland, for positive tourism promotion purposes. The free-to-use platform, known as the Content Pool, contains a valuable collection of digital assets showcasing people, landscapes, festivals, activities, cities and rural life, food and beverage, and lifestyle and culture. The overall purpose of this role to is to lead on Digital Asset Management for the Content Pool, and support the Social & Digital Marketing Manager in the management of all digital assets. The post holder will ensure that correct licencing and usages are applied to all digital content, which is critical to determining how content is used and by whom. The tri-agency context of the role, i.e. the partnership between Filte Ireland, Tourism Ireland, and Tourism Northern Ireland in the running of the Digital Asset Management platform, means that the post holder will be responsible for liaising with all stakeholders including the technology provider, and co-ordinating the work of the tri-agency team. The ideal candidate will have experience in the day-to-day management of a DAM system, in addition to experience of associated content migration. They should have a high degree of knowledge of digital asset management technologies, including, but not limited to, DAM administration, asset curation, taxonomy, knowledge of intellectual property and copyright, and data protection regulation. Main Duties The post-holder will be responsible for the following areas of activity: Digital Asset Management Lead on the day-to-day management of Digital Assets for the tri-agency digital asset management (DAM) platform (known as the Content Pool). Maintain control of Tourism NIs digital assets including imagery, video, campaign, and brand assets, and provide quality assurance. Develop and present brand assets and guidelines for Tourism NIs corporate and visitor experience brands. Upload newly commissioned digital content within the relevant guidelines, ensuring taxonomy and meta-data is applied, and with consideration of intellectual property, copyright, and data protection regulations. Conduct regular audits of all digital assets to ensure quality, and compliance with all relevant governance, guidelines, and legislation. Assist in the procurement of a new technology provider for digital asset management, and co-ordinate the migration of digital assets onto a new platform in collaboration with all stakeholders. Support the unit manager with planning, prioritising, and co-ordination of all tasks associated with the project. Develop, implement, and maintain new standard operating procedures, processes, and guidance in relation to digital assets, including FAQs, asset release forms, and permissions. Oversee the licencing and usage status of all digital content stored within the DAM system and ensure that renewals are agreed in a timely manner. Provide regular usage reports and updates on system development. Lead on responses to internal and external enquiries relating to digital assets and usage as and when required. Tri-Agency Liaison / Stakeholder Engagement Act as a key contact between the three agencies involved in the development of the digital asset management platform and ensure the smooth running of, and ongoing engagement in, the project. Lead on stakeholder groups and sub-groups on behalf of Tourism NI, arranging internal and inter-agency meetings as required. Monitor delivery against project plans and provide updates to stakeholders / the Social & Digital Marketing Manager / Tourism NI management as required. Co-ordinate and issue communications on behalf of the project team. Co-ordinate the identification and resolution of technical issues and outages on behalf of the project team. Budget Management Assist the Social & Digital Marketing Manager in the management and maintenance of the DAM project budget portfolio, ensuring value for money, and the effective use of resources. Support the management and partner agencies with the completion of economic appraisals and business cases. Provide regular budget reports, information, and input to management and partner agencies including departmental returns as required. At all times adhere to Tourism NIs financial governance policies and procedures. Additional Duties Act as a central point of contact for all matters pertaining to Digital Asset Management. Provide briefing material and draft correspondence as required by Tourism NI Management, Board, the Department for the economy, the NI Assembly, members of industry, and the general public within specified timeframes and in an appropriate format. Contribute to the delivery of project work within the team and collaborate across Tourism NI as required, including attending working groups and meetings. Contribute to the development of the Annual Operating Plan, the achievement of tourism targets, and promote the corporate values and behaviours within the team and across the organisation. Provide cover for management within the division to include decision making and attending meetings in the absence of others. Attend training as and when required and keep abreast of current developments within your area of work. Maintain, store, and dispose of records in accordance with Tourism NIs policy, and using the appropriate record management systems. Any other duties commensurate with the grade as required by Tourism NI management. PERSON SPECIFICATION ESSENTIAL CRITERIA EDUCATION/QUALIFICATIONS & EXPERIENCE Option 1 A sixth-level qualification (undergraduate degree) as detailed in the qualification framework overleaf. AND A minimum of 2 years experience in Digital Asset Management. AND A minimum of 2 years project management experience, ideally in a digital / information technology role. OR Option 2 A minimum of 4 years experience in Digital Asset Management. AND A minimum of 2 years project management experience, ideally in a digital / information technology role. ESSENTIAL CRITERIA - Personal Effectiveness The Job Holder will also possess a high standard of: ICT literacy and proficiency working in a digital environment. Ability to work on own initiative and take the lead where necessary to achieve objectives. Organisational / project management skills and the ability to work to strict deadlines, prioritise tasks, and attention to detail. Negotiation, influencing, and communication skills, both oral and written. Interpersonal skills, and ability to forge and maintain effective working relationships with both internal and external stakeholders. Ability in managing tendering / procurement processes for systems and technological solutions. Customer-focused care and a commitment to continuous improvement. PREFERRED CRITERIA Experience of working within the public sector or other complex regulatory environment. Experience of managing a significant budget (circa £100K).
