Our client is a specialist in their field, and they are looking for a dynamic and enthusiastic Facilities Coordinator to join their team based in central Leeds.


This is newly created role will initially be a 6-month Fixed Term Contract, with the possibility of extension.


This is an exciting opportunity to join an international organisation and the successful candidate will become part of a small facilities management team.


Salary: £30,000 per annum


The role

  • Managing records and managing the organisation of Health and Safety documentation, providing support to ensure regulations are met.
  • Coordinate between the business and third parties, including liaising with suppliers, ordering equipment and processing invoices.
  • Managing documents.
  • Assigning incoming emails in ticketing system and priortising tasks.
  • Completing all facilities documentation for all offices, including regular checks and updates.
  • Scheduling periodic office services inspections/checks i.e. water, electrical, air conditioning.
  • Coordinating Office Lease and Service Charge related administration.
  • Signing off invoices and raising queries with unexpected amounts.
  • Equipment management, including for joiners and leavers and maintaining lists of equipment staff have at home.
  • Recording office equipment and disposal of items for each office.
  • Completing Certificate check lists.
  • Supporting with documentation for EU offices.
  • Organising visits from contractors when needed.
  • Providing ad hoc Receptionist cover, when needed.


About you:

  • Prior experience in an administrative role.
  • Experience of working to strict deadlines.
  • High attention to detail.
  • Strong self organisational ability.
  • A team player.
  • Comfortable dealing with numbers and figures.
  • Ability to engage in physical tasks such as moving equipment and setting up meeting rooms.


This is a fully office-based role.
