Associate Rep Job Description Job Purpose Supports Rental Reps in all stages of the order life cycle. Responsibilities Assists Reps in bidding and order processing. Provides order execution support. Performs and assists with the Rep’s administrative duties. Engages in regular client communication and relationship building. Supports CL policies, procedures, and business models. Manages all components of mass media for clients on behalf of Rep. 1. Assists Reps in bidding and order processing by: Assisting Reps in the bidding process, including cost analysis, equipment substitution/availability, market and client pricing information, and other strategic aspects required to produce a bid price for Rep delivery. Assembling and producing formal bid presentations if required and requested by Reps. Creating and supporting efficient bid templates for varied client types and as per individual Rep requests, including consistent company background, performance history, and other supporting documentation. Monitoring confirmed orders as delegated and overseen by the Rep and dealing directly with the Project Manager and client to ensure all production details are in order. Requesting and overseeing support orders by interfacing directly with client and PM. Pricing and overseeing specifically defined new client orders per clear Rep direction and pre-approvals. Managing new order inquiries and ongoing show needs whilst Reps are on vacation with the support of the designated backup rep. 2. Provides order execution support by: Assisting Rep to ensure that support departments are engaged by the Project Manager as required, including Purchasing, Sub-Rentals, Labor, Transport, Rep Admin, and all other order-specific needs. Following up on all the above to ensure timely confirmation and delivery of all detailed feedback and status reports from support departments as the order progresses. Attending client production meetings as requested by Reps when they may be unavailable. Facilitating the delivery of show documents such as drawings, health and safety reports, and other necessary forms to the client and crew as needed/requested. Acting in place of Rep (remotely or locally) to ensure client crews and staff are supported whilst in CL facilities. Managing pre-visitation and production space bookings, including CL or remote/rental facilities. 3. Performs and assists with Rep’s administrative duties by: Requesting and monitoring rental contracts and COIs (Certificate of Insurance) from Rep Admin Manager. – individual or ongoing. Reviewing billing reports, order cost entry, and Nexus equipment additions to assist or directly request / create invoicing per Rep direction and approval. Rep to formally approve all invoicing. Supporting and interfacing with AR collections staff; contacting clients for collection info per Rep direction. Ensuring timely Nexus order closures. Review Rep REVEX reports for errors and omissions and interface with department staff for adjustments or explanations as required. 4. Engages in regular client communication and relationship building by: Facilitating in-person appointments between Rep and clients, including pre-bid-submission and strategic sessions. Attending with or in place of, if Rep is unavailable or by request if value is added. Scheduling regular phone and email communications with clients, during or in-between bid opportunities. Researching and reporting to Rep on client activity and opportunities related to ongoing or new business. Providing timely and appropriate feedback from clients to Reps and management. Supporting the execution of company functions and events related to Rep/client relationships. 5. Supports CL policies, procedures, and business models by: Managing strict adherence to OCOR / One Contact – One Rep client management policy. Observing strict compliance with accounting and administrative deadlines and protocols. Engaging in consistent proactive daily business practices. Communicating questions, issues, and strategies to the CL Management Team to support successful outcomes on behalf of Rep and clients. 6. Manages all components of mass media for clients on behalf of Rep by: Providing Rep with contracts, COIs, drawings, and regulatory compliance documentation. Helping to manage client press and print opportunities. Supplying assembled press packages to accompany Rep proposals. Essential professional attributes for success in this role: Strong knowledge of CL equipment and varied market segments and event types. Strong familiarity with Nexus, Excel, Word, and PowerPoint document creation and editing. Strong administrative and proactive organizational skills and attention to detail. Creative problem-solving, communication, and consensus-building.
