Job Summary: The PA to the Chief Financial Officer (CFO) will provide comprehensive administrative and organizational support to the CFO of a leading residential development company. The PA will ensure the efficient management of the CFO's office, handle sensitive and confidential information with discretion, and act as the primary point of contact for internal and external communications. Key Responsibilities: Administrative Support: Manage and maintain the CFO's calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and organize meeting agendas, presentations, and materials for internal and external meetings. Screen and prioritize emails, phone calls, and other forms of communication on behalf of the CFO. Draft, proofread, and edit correspondence, reports, and other documents as required. Project Coordination: Assist the CFO with special projects, including data collection, analysis, and reporting. Liaise with other departments to gather information and coordinate project activities. Track progress of key initiatives and provide regular updates to the CFO. Financial Administration: Assist in the preparation of financial reports, budgets, and presentations for the board of directors and senior management. Monitor expenses and assist with budget tracking and forecasting. Coordinate with the finance team on accounts payable, receivables, and other financial matters. Communication and Liaison: Serve as a primary point of contact between the CFO and internal/external stakeholders, including investors, banks, and auditors. Manage and coordinate communication and correspondence, ensuring timely and accurate responses. Organize and maintain the CFO's filing system, both electronic and paper, ensuring the confidentiality of sensitive information. Office Management: Oversee the efficient operation of the CFO's office, including ordering supplies and managing office equipment. Arrange and coordinate logistics for events, meetings, and conferences attended by the CFO. Handle ad-hoc administrative tasks and support other executives as required. Confidentiality and Discretion: Maintain strict confidentiality regarding sensitive company information and discussions. Handle confidential documents and information with the highest level of integrity and discretion. Qualifications and Skills: Education: Bachelor's degree in Business Administration, Finance, or a related field is preferred. Experience: Minimum of 3-5 years of experience as a PA or Executive Assistant, ideally supporting senior management in a financial or real estate environment. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with financial management software. Communication Skills: Excellent written and verbal communication skills, with the ability to draft professional correspondence. Organizational Skills: Strong organizational and time-management skills, with the ability to multitask and prioritize effectively. Interpersonal Skills: Professional demeanor with strong interpersonal skills to interact effectively with all levels of the organization and external partners. Attention to Detail: High level of accuracy and attention to detail in all tasks. Problem-Solving: Proactive and able to anticipate needs, with strong problem-solving abilities.
