About the Role


We are seeking a dynamic Office Administrator to join our busy office in Helensburgh. As the first point of contact for visitors, you'll play a key role in ensuring the smooth operation of our office by managing a variety of administrative tasks. This role offers a 9/75 working pattern, meaning you'll enjoy every other Friday off.


Key Responsibilities:

  • Serve as the Front of Office support at our East King Street (EKS) office.
  • Welcome visitors, conduct safety/security briefings, and issue passes.
  • Coordinate interviews at EKS, as well as meetings for the Managing Director both at EKS and the Naval Base.
  • Organise and manage onsite medical clinics.
  • Maintain and update the ESH medical database.
  • Act as the main point of contact for security systems and utilities at EKS.
  • Manage stock of security forms, passes, and office consumables (IT equipment, stationery, refreshments).
  • Oversee cleaning contractors and handle on-site tasks as required.
  • Act as the onsite Fire Warden.
  • Manage incoming and outgoing goods and mail.
  • Ensure office licenses are up to date.

Required skills, qualifications and experience


  • Prior experience in Administration, Reception, or a similar role.
  • Strong interpersonal skills with the ability to interact confidently with employees, visitors, and VIPs.
  • Ability to create a welcoming and professional environment.
  • Self-motivated and capable of working independently, with a proactive attitude towards problem-solving.
  • Proficiency in Microsoft Office Suite and database management.
  • Exceptional organisational skills with a keen eye for detail.
  • Strong communication abilities and adept at multitasking in a fast-paced environment.

Business Environment

Lockheed Martin UK – Strategic Systems (LMUK SS) is the single contractor providing specialist Waterfront In-Service Support to one of the Royal Navy's Submarine Programs. The company provides the Ministry of Defence (MoD) with safe, efficient and responsive support. LMUK SS, as part of the ABL Alliance with AWE and Babcock, is also responsible for the management of operations at RNAD Coulport. Looking to the future, LMUK SS supports the joint US and UK submarine design efforts.
