JOB PURPOSE

To provide accounts administration support to the Accounts & Finance team and to ensure the smooth and effective day-to-day running of the team and its facilities.


THIS ROLE REQUIRES WORKING 4 DAYS FROM OUR OFFICE BASED IN WATFORD AND 1 FROM HOME


KEY DUTIES AND RESPONSIBILITIES

  • Provide accounts support to the whole team as required –including answering telephone, taking messages, photocopying, word processing etc.
  • Run an aged debtors report on a daily basis and ensure that debts are paid in a timely manner
  • Chase overdue invoices by telephone, email & letter within agreed timescales
  • Handle disputed invoices and negotiate to bring payment within the agreed terms
  • Provide accurate information on invoice queries
  • Updating sales ledger information using internal software and reconciling the books
  • Opening customer accounts with correct information and approval
  • Applying for credit where required and ensuring insurance is in place
  • Ensuring all filings and scanning is done appropriately
  • To produce work such as letters, databases, spreadsheets, reports, and presentations, in draft form using MS
  • Office applications.
  • Communicate with all customers on a daily basis and maintain a good professional relationship
  • Check bank statements, declare payments, update Cash Book, enter payments, allocation and reconciliation
  • Complete month end process as required
  • Provide cover for team members during periods of annual leave
  • Any other reasonable duties which may arise from time to time


REQUIREMENTS


  • 3 GCSE's or NVQ/AAT Level 2/3or equivalent
  • IT literate and able to use MS Office (Word, Excel, Access, and Outlook)
  • Have excellent organisational skills, ability to prioritise, work under pressure and meet set deadlines
  • A willingness to work flexibly
  • Basic accountancy knowledge
  • A positive and professional attitude
  • Ability to work on your own initiative, independently and be a team player
  • Clear verbal and written communication with a good command of English ensuring accuracy at all times
  • Integrity, and an ability to deal with and recognise confidential and sensitive information as well as work in a
  • friendly and professional manner
  • Ability to work efficiently and confidently
  • Quick learner
