Project Administrator An established medical communications agency is looking for a project administrator to join their team! This role is perfect for someone looking to kickstart their career in med comms. There is a lot of progression in this role and many have progressed upwards in the company already! They have won countless awards and have a lot of interesting work lined up! Monday–Friday, full time 9am–5pm, Hybrid working with flexibility to work from home when appropriate with office attendance approx. once a week or when required. Office based Surrey/London area. Working as a key member of the team, giving admin support across all areas of the business including project team, business development and general office admin. Tasks include, but not limited to: Registrations Collaborate with project teams to clearly understand expectations for each campaign, from the initial planning stages to the completion of the event Register delegates for all events across the business, ensuring that data is accurately maintained and held to a high standard Daily membership approval and dealing with any applications that are not eligible to join Tracking of membership and reporting numbers Managing various Outlook inboxes, handling incoming registration calls and address any queries effectively Ensuring answer machine messages for out of hours, or when busy, are up to date Provide support for the registration hotline during live webinars, addressing delegate queries such as last-minute registrations, missing links, assisting the client sales team etc. Supporting with creating weekly delegate lists in preparation for sending to clients, ensuring data is up to date and formatted correctly Sending internal daily registration numbers for current projects Supporting around onsite (event) registration process which will require some travel within the UK Collect analytics data from various platforms, including Google Analytics and Vimeo, and manage that data into comprehensive reports General admin support across the business As a wider understanding of the role is gained there will be further opportunity to become involved in other areas of the business, for example: Creating evaluations reports under the guidance of Project Exec/Manager Supporting the senior management team with ad hoc admin duties, including business development documents, emails to clients etc Updating and uploading items to websites for the business Sending email mailings via the database ensuring this is done accurately with correct data and email selected Supporting Project Manager/Project Exec with general adhoc admin duties to support client projects e.g. keeping spreadsheets for abstract work up to date, buying journals for the medical team amongst other things Support around live meetings including admin trunk packing in preparation for the onsite team and support onsite when required NB: onsite work can be at different locations around the country and involve travel and overnight stays Keeping the events calendar up to date Office support ensuring everything stocked up and ready for when in use, being in the office when IT or other support services need access Tracking team birthdays and sending gifts Proofreading support Proofreading resources across the business Being methodical when proofing resources and using checklist to ensure main areas covered Skills required Ability to use Microsoft Office packages to competent level – Word, Excel and PowerPoint Ability to adapt and learn multiple website software Attention to detail an absolute must Good ability to multi-task and priorities tasks Good customer facing attitude Extremely organised An ability to work in a fast-paced environment Team player
