ROLE OVERVIEW


You will play a crucial role in supporting the day-to-day operations of the company by efficiently managing administrative tasks, providing personalised assistance to CEO & Founder, and ensuring a well-organized and functional office environment. The ideal candidate will possess excellent communication skills and the ability to handle multiple tasks efficiently in a fast-paced environment. KEY RESPONSIBILITIES

 

Personal Assistance:

  • Serve as a point of contact between the CEO & Founder and internal/external stakeholders.
  • Handle correspondence, including emails, phone calls, and mail ensuring timely responses to emails and requests.
  • Provide comprehensive administrative support, including managing calendars, scheduling appointments, and coordinating travel.
  • Organise travel logistics, including flights, accommodation, and transportation, and provide travel itineraries.
  • Handle personal tasks and errands for executives, assisting with personal appointments, reservations, and other needs as required.
  • Assist with expenses, providing receipts and completing expense process for the executives.
  • Managing deliveries, shipping packages and coordination of parcels or returns.
  • Handle various tasks and projects as assigned, ensuring timely completion and adherence to quality standards.


Office Management:

  • Use a range of software, email management, database management to ensure the efficient running of the office.
  • Oversee the smooth functioning of the office, including maintaining office supplies, equipment, and facilities.
  • Main point of contact for the office, working with reception, any suppliers, visitors, and employees.
  • Coordination of meeting rooms and visitor liaison, welcoming and organising any equipment or facilitating any other requirements.
  • Manage all inbound and outbound postal and delivery requirements.
  • Liaising and working with building management when required.
  • Management and supply of staff and company technology i.e. computers, mobile phones, and desk phones as well as overseeing issues and coordination with third party IT Services to find resolutions and solutions.
  • Social Committee member, employee team building support and organisation.
  • Coordinating and supporting companywide communications and best practice.
  • Maintaining Health and Safety standards and policies across the company.
  • Provide support to Managing Director, Head of Operations and HR Manager where required to ensure the smooth running of the office.
  • General admin support across the company when required including project support and coordination.


SKILLS AND ATTRIBUTES

 

  • Proven experience as an Office Manager and PA or EA.
  • Outstanding communication and interpersonal abilities.
  • Exceptional problem solving skills and multitasking abilities.
  • Excellent organisational skills and attention to detail.
  • Driven, trustworthy and a team player.
  • Discretion and confidentiality in handling sensitive information.
  • A can do attitude and approach to any given tasks.
  • Proficiency in Microsoft Office Suite and other relevant software.
