Our client based in Ilford is looking for a Service Manager to join their team on a permanent full-time basis (a 4-day working week will also be considered). The ideal candidate for this role will have strong administrative, IT and organisational skills. If you have worked in Health & Social Care and have an advanced DBS and OFSTED Knowledge, this would be a distinct advantage. Your role will be to support the Manager with the smooth running of the operation, ensuring that the facilities and organisation are run effectively and safely. Duties for the Service Manager will include: - * Obtaining information for invoicing, keeping spreadsheets up to date, ensuring fees are agreed in writing, chasing outstanding invoices and advising finance team of new starters/leavers. * Ensuring paperwork is electronically stored and accessible, maintaining the database of all policies and their review dates. * Alongside the Manager, ensure data protection and confidentiality are maintained. * Managing the recruitment process – contacting candidates, arranging interviews, checking paperwork and referencing, maintaining staff database along with DBS, appraisals and training records. Manage annual leave requests, holidays, sickness and staff cover, advertising of vacancies * Deal with new enquiries and send out relevant information * Oversee the health and safety on site, reporting any issues or concerns, assist with ensuring Audits are completed and actions are dealt with. Maintain site maintenance records and contracts. * First point of contact for visitors / telephone enquiries and manage petty cash and post. * Purchasing duties, maintain purchase ledger records for all orders, invoices, staff timesheets, ensure stock levels are correct and spending is kept within budget. * Attend staff meeting, diary management, typing and general office duties. You will need: - * Strong administration, communication and organisational skills with the ability to work flexibly and to deadlines. * A good understanding of Health & Safety and Data Protection * Good knowledge of MS Excel, Word and Outlook * Ability to communicate effectively at all levels. * A good understanding of health and social care requirements/standards (OFSTED) is preferred * You will need to have an enhanced DBS (provided for by the company) In return for your hard work, our client is offering a salary of £28,000 - £30,000pa and on-site car parking. The working hours are 9.00am – 5.00pm Monday to Friday. If you have the relevant skills and experience for this role, we would like to hear from you.
