Job Title – Sales Administration Manager


Division: Business Solutions

Department: Sales

Reports to (Job Title): Group Sales Director – Business Solutions


Main Goal

This management level role will directly manage the ICT Sales Admin Desk business Plan and strategy for the Business Solutions division, this will include providing leadership for a team of desk based Admin people concentrating on ICT / UC & Content Services sales support, Quotes and Order Processing. They will be responsible for meeting and exceeding the performance objectives directly aligned with the overall Business Solutions strategy.


They will provide management, mentoring & coaching to the team to support them to achieve the KPI set in their roles.


This person will work alongside other Managers to ensure harmony in client engagement and expectation with regards the providing of quotes, admin support and processing of orders.


Responsibilities/Tasks

  • Communicate & promote the vision & plan to the team and wider business
  • Provide effective leadership. Managing staff and making decisions as appropriate to achieve all individual and team objectives and to meet the overall Company Strategy.
  • Lead regular meetings with the team for the purpose of reviewing their KPI’s.
  • Ensure regular 1-2-1 meetings take place with to coach, train and develop team members and review their KPI’s, and general Internal & external customer communication.
  • Take responsibility for the recruitment and ongoing development of the team
  • Work with other internal Kyocera departments to ensure prompt and satisfactory response and resolutions to all customer queries and issues.
  • Maintain timely and effective communication with staff, peers and senior management as required.
  • Support internal stakeholders to input into the overall Sales Strategy.
  • Sponsor key client engagement and build relationships with internal and external stakeholders to support the sales team.
  • Sets a positive example for the team in areas of personal character, commitment, personal organisation, skills and general work habits.
  • Customer relationship management in relation to deliveries to customers and dealing with issues arising at implementation and during the life of the customer contract
  • Ensure Quotes for Maintenance Contracts are prepared and renewed in a timely manner
  • Supplier relationship management including stock and logistics issue resolution
  • Ordering from Distribution channels or direct from main suppliers
  • Ensure maximum discounts or rebates are negotiated by Distributor or Supplier with Sales
  • Ownership of document management systems and processes related to Quotes, Sales Order Processing, Maintenance Contracts, Billing and Invoicing
  • Support sales optimisation and productivity in the context of improving back office tools and processes.
  • Ensure accuracy of sales and service billing reduce errors
  • Balance and optimise workload across the team.


Knowledge, Experience & Skills

  • Experience of managing a team of 4 or more
  • Have previously worked within an ICT or MSP environment
  • Experience of using CRM tools (i.e. Salesforce) and competent in using all MS office programs, Word, PowerPoint, Excel SharePoint, Teams etc.
  • Commercially aware and able to create customer propositions which are flexible, solution orientated and in line with Kyocera business requirements.
  • Able to build rapport with customers and demonstrate strong relationship management skills.
  • Adept at prioritising workloads, time management and utilising proven organisational skills.
  • Relevant business experience preferably across a range of back office functions in a medium sized business
  • Experience of the process to Quote and delivery of goods and services within an ICT business is required
  • Experience managing and developing teams of staff is required.
  • A good understanding of the sales process from customer order to invoice to cash is essential.
  • Experience of delivering change projects in a fast-paced environment is desirable.
  • A proven ability to manage a varied workload and prioritise effectively is required.
  • Experience working on an ERP implementation and using a mainstream ERP system in-life would be beneficial.
