Job Description

Job Title: Executive Assistant (12mth FTC)

Based: London

Duration: 12 months fixed term

Job Purpose: This role is to provide 6 months maternity cover and support to the Managing Director in the management of the Foundation’s operation and the development of organisational policy and strategy. Following from this, this role will then transition into providing support and executive assistance to the wider Senior Leadership team.


Principal accountabilities

Senior Leadership Support

  • Extensive inbox and calendar management; prioritise inquiries and requests while troubleshooting conflicts and exercising tact; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Co-ordinating detailed and frequently changing national and international travel arrangements, including itinerary planning, securing visas and other travel documentation, making car/rail/flight/hotel bookings applying the Foundations travel policy.
  • Acting as the primary point of contact for internal staff and external organisations - fielding calls, responding to queries and requests, and accurately relaying messages.
  • Liaising with internal staff (eg other support staff, senior management and Trustees) and external stakeholders at all levels (eg officials from government, senior figures from regulators, the accounting profession and other international bodies).
  • Managing logistics for meetings, conference calls and video conferences.
  • Co-ordinating preparation and travel arrangements for events e.g.speaker engagements.
  • Dealing with all administration:
  • Managing correspondence and drafting responses as required.
  • Document management.
  • Controlling all signatory requests.
  • Processing expenses and credit card reconciliations.
  • Pre-approving travel and expense requests

Other ad hoc administrative and project duties as required including, but not limited to:

  • Supporting senior management or advisory groups that may be established to facilitate the work of the Managing Director and Senior Leadership team
  • Working with Executive Coordinators and Executive Assistants across the organisation to ensure appropriate cover during periods of annual leave and to provide support during periods of high workload.

Skills and attributes

  • Ability and confidence to represent the Managing Director and Senior Leadership and to engage with individuals at all levels on their behalf.
  • Ability to anticipate and co-ordinate complex, and sometimes changing, travel and meeting arrangements across time zones.
  • High level of autonomy and resourcefulness and strong problem-solving skills.
  • High level of integrity and professionalism; ability to handle confidential or sensitive matters with discretion and to exercise judgement to determine the appropriate course of action, referral or response.
  • Ability to analyse and to think strategically about complex issues and to quickly understand new information.
  • Excellent communication skills and ability to work collegially with others.
  • High level of English language oral and writing skills and the ability to draft succinctly.
  • High level of attention to detail and excellent organisational and administrative skills.
  • Ability to remain composed under pressure, to respond to conflicting demands on an urgent and ad-hoc basis, and to prioritise workload appropriately.

Qualifications and experience

  • Previous experience of supporting a senior-level executive in an international environment and managing complex and frequently changing travel and meeting arrangements across time zones is essential.
  • Previous exposure to confidential and politically sensitive issues, and the ability to handle them sensitively and discreetly.
  • Proficiency in MS Office Suite, including SharePoint.


The organisation

The IFRS Foundation is a not-for-profit organisation established to develop—in the public interest—high-quality, understandable, enforceable and globally accepted standards for general purpose financial reporting and to promote and facilitate their adoption.

The standards—IFRS® Accounting Standards and IFRS® Sustainability Disclosure Standards—are set by the Foundation’s standard-setting bodies, the International Accounting Standards Board (IASB) and the more recently formed International Sustainability Standards Board (ISSB). IFRS Accounting Standards are required in more than 140 jurisdictions.


The two boards are overseen by the IFRS Foundation Trustees, who in turn are accountable to a Monitoring Board of public authorities.


In November 2021, the Trustees announced the creation of the ISSB and the consolidation of the Climate Disclosure Standards Board (CDSB) and the Value Reporting Foundation (VRF) into the Foundation. This process was completed on 1 August 2022 and the addition of the new board has taken the Foundation from a ‘one board/two locations’ organisation to a ‘two boards/several locations’ organisation (with offices across multiple time zones, including San Francisco, Montreal, London, Frankfurt, Tokyo) with a significant increase in overall headcount. The ISSB has issued its first two inaugural standards in June 2023 and jurisdictions are now considering theme for adoption.
