Salary: £32,000 to £35,000 per annum.

Contract type: Permanent position - 3 months probation.

Hours: Full-time, 40 hours per week. 5 days a week, Monday to Friday. We are committed to flexible working.

There are two elements to this role. Firstly, manage the diaries of the Chief Executive and Head of Diamond 2 including arranging meetings, travel, accommodation and expenses. Secondly, supporting our office and operations function, being the main contact with our office and service providers.

Key responsibilities

  • Work directly with the CEO and Head of Diamond 2 to support all aspects of their daily work routine.
  • Diary management, including scheduling meetings, appointments, speaking engagements and travel (may include domestic and international) arrangements. Prioritising appointments and organising meeting rooms/online invites and or making external reservations.
  • Exercise discretion in committing time and evaluating needs.
  • Advise of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Serve as a liaison between the CEO, Head of Diamond 2, Finance functions, colleagues, stakeholders and the public. This includes screening messages, calls, visitors, answering a variety of questions with tact and diplomacy; and taking messages and directing calls appropriately for resolution.
  • Determine priority of matters of attention for the CEO and Head of Diamond 2; redirect matters to colleagues to handle, or handle matters personally, as appropriate. Handle sensitive documents and data, and maintain strict confidentiality.
  • Manage our office function on a day-to-day basis providing a full range of administrative services, including meeting guests, and maintaining supplies.
  • Work with the Finance functions and Head of Projects to ensure the successful implementation of the Finance Review and recommendations.
  • Manage relationships with external third parties.
  • Relationship management with all IT, telecommunications and office repairs.
  • Manage our website, generating new ideas for content and proofing supplied content.
  • Manage stationery budgets.
  • Play a key role in the delivery and organisation of events, communication and marketing strategies.
  • Support the delivery of other CDN programmes and projects as required.

Knowledge, skills and experience

  • A detail-oriented self-starter with prior experience working for a CEO and/or senior executives.
  • Someone who exhibits sound judgment with the ability to prioritise and make decisions.
  • Resourceful, can-do attitude and eager to tackle new projects and ideas.
  • Comfortable interacting with high-level executives.
  • A team player capable of cultivating productive working relationships across the organisation.
  • Enthusiasm for and a genuine desire to learn about, and to contribute to, the work and operation of the organisation.
  • An understanding of facilitating the access requirements for deaf, disabled and neurodivergent people, or a willingness to undertake in-role training.
  • A strong personal commitment to and interest in the vision of Creative Diversity Network.
  • A self-starter with excellent problem-solving skills.
  • Experience of digital marketing and communication tools.
  • A natural collaborator and communicator, able to manage, negotiate with, and influence multiple stakeholders relationships.
  • Ability to prioritise, manage several tasks at the same time, and work to agreed deadlines.
  • Strong attention to detail with the ability to spot opportunities and risks.
