Department: Transport Reports to: Head of Transport Contract Type: Permanent, Full-time Hours: 40 hours per week (5-day, 6-week rota, rolling day off) Shift Hours: 17:00 – 01:30 Job Summary: The Planning Co-Ordinator is responsible for maintaining high standards of territory control by optimising routes to ensure maximum efficiency and exceptional customer service. This role involves route planning, monitoring vehicle compliance, and collaborating with various teams to ensure smooth daily operations. Key Responsibilities: * Adhere to Company Core Values. * Position new customers in appropriate delivery areas and within delivery windows. * Communicate with Sales Support on delivery window queries for new accounts. * Make necessary adjustments to delivery runs to maintain excellent customer service. * Liaise with the Head of Transport on run start times. * Collaborate with the Head of Transport to ensure correct placement of all customers within the serviced territories. * Build new routes as required, particularly during busy periods. * Perform route analysis to ensure vehicles comply with weight restrictions, swapping vehicles if needed. * Ensure that delivery runs align with the loading plan by coordinating with the night operational team to meet departure schedules. * Run Maxoptra OTIF reports to track performance against a 98.5% target. * Clear old accounts from the main planning screen monthly. * Plan early loading runs, particularly for school and care home accounts. * In the absence of the Planning Assistant, ensure that all necessary equipment (e.g., keys, paperwork) is available for drivers to complete their routes. * Use Maxoptra to optimise route cost efficiency. * Schedule overspill accounts in a cost-effective and economical manner. * Attend monthly 1-to-1 meetings with the Head of Transport. * Participate in monthly Transport Department meetings. * Complete Driver Return to Work (RTW) reports. * Adhere to Company Health & Safety policy, and report any concerns related to health, safety, and food safety. * Ensure compliance with all aspects of Food Safety, including temperature control and maintaining the chill chain. * Perform other duties as required, based on business needs. Skills & Experience: Work Experience: * Minimum of one year’s experience in a Transport Office. Skills: * Physically fit. * Ability to work independently and as part of a team. * Excellent communication skills. * Ability to work under tight deadlines. Education: * Proficiency in Microsoft Outlook, Word, and Excel
