We are seeking a proactive and organized Estates and Facilities Administrator to join our dynamic Estates and Facilities team. Job Summary: The Estates and Facilities Administrator will play a vital role in supporting the day-to-day operations of the estates and facilities management function. You will be responsible for ensuring the smooth running of administrative processes, assisting with maintenance schedules, and providing support to both the Estates Manager and the wider facilities team. Key Responsibilities: Act as the first point of contact for estates and facilities inquiries, responding to requests in a timely manner. Maintain accurate records of all maintenance, repairs, and service contracts. Schedule and coordinate planned and reactive maintenance tasks, liaising with contractors and in-house teams. Assist with the preparation of reports, spreadsheets, and presentations related to estates and facilities management. Experience of working with CAFM systems and in a Helpdesk team Experience of working within a Building Maintenance environment. Manage office supplies, equipment inventories, and facility-related purchases. Support health and safety compliance by tracking inspections, risk assessments, and statutory requirements. Maintain and update databases and filing systems, both electronic and manual. Help coordinate office moves, space planning, and furniture allocations. Support the Estates Manager in budget monitoring and invoicing, ensuring timely payments to contractors. Provide general administrative support to the estates and facilities department.Qualifications and Skills: Previous experience in an administrative role, ideally within estates or facilities management. Excellent organizational and multitasking abilities. Strong communication skills, both written and verbal. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to work under pressure and manage competing priorities. Knowledge of health and safety regulations is desirable but not essential.
