Job Overview: The firm is seeking a detail-oriented and proactive Family Legal Secretary to join their legal aid family law team. The ideal candidate will provide essential administrative support to solicitors and caseworkers, ensuring the efficient management of legal aid cases. This role is critical for maintaining the smooth operation of the department and supporting the team in delivering effective legal services to clients. Key Responsibilities: * Diary Management: Efficiently manage and coordinate diaries for family law solicitors, including scheduling appointments, court dates, and client meetings. * Dictation: Transcribe and prepare legal documents from dictation, including letters, court forms, and case summaries, ensuring accuracy and adherence to legal standards. * Administrative Support: Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence related to family law cases. * Case Management: Assist in the organization and management of case files, including filing documents, updating client records, and ensuring all paperwork is complete and properly filed. * Client Interaction: Support client communications, including arranging appointments, providing updates on case progress, and addressing client inquiries with professionalism and sensitivity. * Court Assistance: Prepare documentation for court proceedings, including filing necessary documents and liaising with court personnel as required. * Data Management: Maintain and update client information and case files using the firm’s case management system, ensuring confidentiality and accuracy. Requirements: * Experience: Previous experience as a legal secretary, preferably in family law and with familiarity with legal aid procedures, is highly desirable. * Skills: Strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. Proficiency in dictation and document preparation is essential. * Communication: Excellent verbal and written communication skills, with a professional and empathetic approach to client interactions. * Technical Proficiency: Proficiency in Microsoft Office Suite and experience with case management software. * Professionalism: A high degree of professionalism and confidentiality, with the ability to work effectively in a supportive role within a busy legal environment.
