We are looking for an organised and detail orientated individual who is looking to develop their career as a Personal Assistant. In this role, you will assist the Executive Assistant in maintaining efficient administrative operations and providing exceptional support to ensure the smooth running of the Director’s day to day needs. Principle duties and accountabilities Assist with office administration Supporting with personal administration requirements such as family travel, payment of bills, gifts etc Working with relevant internal and external stakeholders to ensure queries are answered. Screening phone calls, enquiries and requests, and handling where appropriate. Supporting with restaurant bookings and catering requirements for internal meetings. Assisting the EA with organisation for corporate events such as football matches, company social events and charity days with internal/external attendees when needed Interaction with other directors and carries out their requests if needed Making refreshments as required and replenishing stocks Meeting and greeting visitors at all levels of seniority. Liaising with clients, suppliers and other staff. Assist with scheduling appointments and manage calendars when required Assist with travel arrangements and accommodation Support financial operations, including processing expenses and invoices Maintain confidentiality of sensitive information at all times Researching competitive quotes for various insurance policies for the Director and his family Assist with ad hoc tasks and projects Stepping up to cover in the absence of the EA Knowledge/Skills/Qualifications Required Strong organisational and time management skills Excellent attention to detail and accuracy Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Strong written and verbal communication skills Ability to multitask and work effectively under pressure A friendly and professional demeanour Ability to maintain confidentiality and handle sensitive information Previous office administration experience is preferred but not required We will consider those who do not have PA experience previously, but attitude and team fit is going to be key. You must be prepared to learn quickly and work overtime if required as there may be some out of office hours support needed The ability to use own initiative and know when to seek advice Ability to develop and maintain strong, effective and professional working relationships Flexible and receptive to change
