Job Overview
This role is extremely varied, requiring someone who is able to multi-task, think on their feet, responsive to the needs of the company and ensuring the smooth running of the office. The successful candidate will also work closely with and provide ad-hoc support to the founding director and senior team.

The role covers all administrative areas within the studio, including:

Office Administration:

Managing smooth day-to-day operation of the practice

Answering phone, filtering calls and managing queries

Ensuring the office space is clean and presentable

Overseeing and submitting the office and professional indemnity insurance renewals

Querying and liaising with our account managers when necessary

Managing incoming and outgoing written correspondence

Organise staff and social events

Give active support to the Director and the senior team

Liaising with external IT company for all staff computer/IT requirements

Dealing with/resolving minor IT issues in-house

Ensuring office insurance is regularly updated with newly purchased items

Printer check and purchasing stationary when needed

PR & Publicity:

Assisting with business development, PR and Marketing

Flagging google alerts and circulating to team as well as uploading to social media

Assisting with management of social media platforms and regularly updating and overseeing

Organising social, education events and conferences

Organising internal events with clients

HR:

Coordinating staff absence days, annual leave and recruitment

Coordinating of recruitment process and scheduling interviews

Managing our HR software and ensure that all documents and information are uploaded and up to date.

Managing the H&S policies and update as necessary

Updating and maintenance of staff handbook

Working understanding of employment law / HR standards

New starters and leavers coordination, create starter information packs etc

Assist with drawing up employment contracts / special circumstance contracts

Assist with any grievances / disciplinaries

Experience of managing a small team is desirable

Finance:

Project fee schedule monitoring

Quarterly VAT returns, liaising with external accountant

Day to day book-keeping

Managing Petty Cash

Staff expenses

Managing cash-flow / assist with forecasting

Regular time sheet review
